The Challenge: Automated Payment Reconciliation at Scale

For a high-volume property developer, receiving a payment is only the beginning. Each payment must be found in the bank records, matched to the correct customer and property, confirmed and converted into a formal receipt.

The process involved two separate streams of information. Sales representatives submitted customer-payment details, while Finance independently reviewed bank statements to verify whether the funds had arrived. The two records then had to be brought together before a receipt could be issued.

At a target volume of 1,000 receipts per day, this created pressure across the business. Customers and sales teams needed faster confirmation, while Finance had to manage intensive reconciliation work and investigate incomplete, duplicated or mismatched information. Adding more people could increase capacity temporarily, but it would not repair the fragmented process underneath.

What Procism Changed

Procism redesigned the journey as one connected control chain, beginning with the sales representative’s payment submission and ending with verification, exception approval and receipt delivery.

Sales representatives submit payment details through a guided conversational interface, ensuring that the required information is captured consistently at the start. In parallel, bank-statement transactions are ingested and structured so that the system can compare what was reported by Sales with what was actually credited to the bank.

The matching engine brings those two records together. Where the information agrees, the payment can move forward for receipt generation. Where an amount, reference or customer detail does not align, the system does not force an automated answer. It keeps the variance visible and routes it to an authorised person for review and approval.

Duplicate checks were introduced before records entered the main workflow, reducing the risk of the same payment being processed more than once. The architecture also combined automation with human control at the points where judgement or formal approval remained necessary.

Delivery Outcome

Procism verified the payment-intake journey from submission through processing and presented the working solution in a live CFO demonstration. The delivered workflow showed how large receipt volumes could be managed without losing sight of mismatches and exceptions.

Testing also surfaced transaction-level deduplication and server-connectivity constraints before live deployment. Isolating these issues at the testing stage meant that they could be resolved without exposing the operating process to uncontrolled risk.

The value of the solution is not limited to faster receipt creation. Procism redesigned the complete control chain connecting Sales, bank verification, Finance approval and customer receipt delivery.
